Sponsorship
Here are a few quick tips to help sponsor your Pilgrim and to understand the responsibility that you are undertaking when committing to sponsorship. BEFORE THE EMMAUS WALK

Be sure you have adequately explained the Emmaus Walk to your Pilgrim and have both the REQUEST FOR RESERVATION (completed by the Pilgrim) and the SPONSORSHIP form, along with a check for at least half of the fees. Check over the application to be sure it is readable and all the necessary information is completed. Send this to the Registrar as soon as possible.

Start gathering letters for your Pilgrim immediately so you won’t be scrambling at the last minute. This can be done either by letter or phone call. Include a deadline at least a week prior to the Walk when the letters should reach you. Be very clear that the letters are NOT to be sent to the Pilgrims.

Follow up with anyone from whom you were expecting a letter prior to the deadline.

You will receive a Confirmation from the Registrar by email once the Pilgrim’s application has been received. There will be a confirmation date by when you must let the Registrar know if your Pilgrim still plans on attending the Walk. Be sure you follow up with the Registrar by the date listed. If there are any changes, please notify the Registrar immediately.

Sponsors should make themselves available to the Pilgrim’s spouse during the weekend to help with anything that may be needed.

All Pilgrims will receive a Confirmation for the Walk as well as a Packing List. This is emailed two weeks prior to the walk. Sometimes the email addresses on the application are difficult to read or the information being sent out goes into a spam file. So it would be a huge help if at that 2 week point you would check with your Pilgrim to be sure they did receive the Confirmation and Packing List. If they haven’t received information from the Registrar please contact the Registrar immediately so the information can be resent to them.

DURING THE WALK

SEND-OFF/SPONSOR’S HOUR

You should be the one to bring your Pilgrim to Send-off, when at all possible. If you are unable to do so then you must make arrangements for someone else to take care of this. The Walks are held at Warren Willis Methodist Camp in Fruitland Park, FL. The address to the camp is 4990 Picciola Rd, Fruitland Park, FL 34731

Be sure you wear your Name Tag, but not your Emmaus cross.

Do not bring letters or any gifts for the Pilgrim to Send-off. Please bring them to Sponsor’s Hour.

You MUST stay for the Sponsor Hour after the Pilgrims leave the Send-off. This is the time you will pray over their crosses and receive Communion.

Send-off and registration of Pilgrims begins at 7:00 pm. Please don’t arrive any earlier than 6:30 p.m. due to team set up. If you are delayed, please call the Registrar’s cell phone ASAP.

Bring Agape letters to the Sponsor’s Hour. There will be a designated box in which to put them. There can be no more than 12 letters per Pilgrim. These should be banded together with the Pilgrim’s first and last name on each envelope. Be sure the name is easily readable. On the top corner of the envelope print the relationship of the person who wrote the letter (i.e. husband, child, and sponsor). Any more than 12 letters or any gifts should be held back and given to the Pilgrim on the way home. When you bring Agape letters to Candlelight it makes it difficult for Agape Angels to sort late Saturday night.
CANDLELIGHT

Arrive between 7:30 and 8:00 p.m.
CLOSING CEREMONY

Arrive at the camp no later than 4:00 pm. If you are able to arrive earlier to help clean up in buildings 5 and 6, that would be much appreciated.

Wear your Name tag and cross to the Closing ceremony.

Wait in the designated area with the other sponsors until an Angel comes to get you.
AFTER THE WALK

You are instrumental in the 4th day of your Pilgrim. Follow up with them as often as possible!

Be sure they get connected in a Reunion group ASAP. Check to see if any group in the area is willing to take on an additional partner. If that is not feasible, assist them in starting a new group.

Gatherings are also important to the 4th Day. Invite them to a Gathering as soon as possible.

Encourage them to work on a team ASAP and to sponsor someone else. Offer to help them with applications or whatever is needed.
